A Message from Our Team
Unique Himalayas Treks & Expedition Pvt. Ltd. is a legally government-registered trekking and tour operator in Nepal. We are committed to running safe, well-organized trips and delivering professional service, ensuring your safety as our first priority from the first inquiry to the final day of your journey.
Please read the Terms & Conditions below carefully. These terms become effective from the date you confirm your booking with us.
1) What we Need From You
To secure your spot on any of our Nepal, Tibet, we’ll need two things:
- A clear copy of your passport (photo page), and
- A 20% deposit of the total trip cost.
Your booking is considered confirmed once we receive the deposit and required details. We will then begin making arrangements on your behalf: reserving your permits, accommodation, internal flights (if applicable), and staffing arrangements.
Final payment: The remaining balance is payable in Kathmandu prior to departure, unless a different arrangement is agreed in writing.
Special note for Tibet
Some services (especially permits and pre-paid logistics) must be arranged well in advance. For Tibet programs, we may request full payment earlier depending on the confirmed itinerary and operational requirements. If an advance deadline applies to your booking, we will clearly inform you during the confirmation stage.
2) Deposit & Booking Guarantee
The deposit secures your place and allows us to begin trip preparations, including advance payments to hotels, transport providers, airlines, and local partners.
- The 20% deposit is non-refundable once paid, as it is used to lock in services and allocate operational resources.
- If you cancel after confirming, the deposit will be treated as a cancellation charge.
3) Payment Methods
We accept payment by wire transfer and other agreed digital payment options. If you would like to pay by card, please contact us, and we will guide you based on the available gateway at the time of payment.

B) Credit Card Payment
Prefer the convenience of paying online? No problem. Our secure payment portal makes the process quick and straightforward

Processing Fee: A 3.5% surcharge applies to all credit card transactions. This covers the fees charged by international payment gateways. We wish we could absorb this entirely, but transparency matters more to us than hiding costs elsewhere.
4) Last-Minute Bookings
We do our best to help even on short notice. In many cases, we can accept bookings close to departure; however, availability may be limited for:
- peak trekking seasons,
- mountain flights,
- remote region permits,
- and premium accommodation.
We happily accept bookings made as little as 2-3 days before departure for Nepal-based treks and tours. If you suddenly find yourself with time on your hands and mountains calling your name, reach out. We’ll do our best to make it happen.
For Tibet, last-minute arrangements are often difficult due to permit and pre-approval timelines, so early booking is strongly recommended.
5) Changing Dates (Postponement)
If you need to move your travel dates, please inform us in writing (email is fine) as soon as possible
We will make every reasonable effort to:
- reschedule your trip to a suitable time, and
- apply any payments already made toward the new dates.
Please note that we do not charge a postponement fee from our side. No penalties. No pressure. Just let us know, and we’ll hold your booking until you’re ready to travel again. Your deposit stays safe with us, and you can choose new dates whenever you feel comfortable.
But some airlines, hotels, and third-party suppliers may apply change charges, fare differences, or rebooking costs. If such fees arise, they must be covered by the client.
6) Cancellation & Refunds
We apply this policy consistently because your 20 percent deposit helps us secure permits, reserve accommodations, and assign guides; commitments we often cannot reverse once made. If you cancel your trip after confirmation:
- The 20% deposit remains non-refundable.
If You Have Paid More than the Deposit
If you have paid more than the deposit, we will
- Retain the deposit amount, and
- Refund the remaining balance using the original payment method where possible (or another mutually agreed method).
Refund timing may vary depending on banking channels and payment providers.
7) Travel Insurance (Compusory)
All clients must have comprehensive travel insurance before joining any of our trips. Your insurance should cover, at minimum:
- emergency medical treatment,
- high-altitude trekking coverage (where applicable),
- emergency helicopter/ground evacuation,
- trip interruption and cancellation,
- loss/theft of baggage and personal items.
- Personal accidents
- Natural Disaster affecting travel
You are responsible for carrying your insurance details during the trip and ensuring the policy is valid for the activity and altitude of your program.
8) Safety, Risk & Client Responsibility
Trekking, mountaineering, and adventure travel involve inherent risks, including altitude-related illness, changing weather, and remote-area logistics.
We commit to:
- Responsible planning,
- Trained local staff and guides,
- Practical safety briefings,
- And support in emergencies.
Clients agree to:
- Disclose relevant medical conditions honestly,
- Follow guide instructions and safety protocols,
- Trek responsibly and respect local culture and laws.
If a client chooses to leave a trip early or refuses safety guidance, any resulting costs (transport, accommodation, flight changes, etc.) are the client’s responsibility.
9) Disruptions, Delays & Events Beyond Our Control
In high mountain regions, delays and itinerary changes can happen due to weather, road conditions, flight disruptions, natural events, government restrictions, strikes, or other circumstances beyond our control.
All our tours operate under the regulations set by the tourism authorities of Nepal, Tibet, and Bhutan. Despite our best efforts, certain situations fall outside our control:
- Government rule changes or travel restrictions
- Natural disasters, severe weather, or geological events
- Flight cancellations or delays
- Personal illness, injury or accidents during the trip
In such cases, we will do our best to provide the best suitable alternatives and support. But additional expenses (extra nights, meals, flight changes, etc.) are generally the responsibility of the client. This is another reason why travel insurance is so essential.
We strongly advise carrying a contingency budget and keeping 1–2 extra days in your schedule for trekking regions where flights are weather-dependent.
We promise to support you through any difficulties and help find solutions, but financial responsibility for the unexpected ultimately rests with the traveler.
10) Trip Interruption / Incomplete Tours
No refunds are provided for unused services if a trip is shortened or interrupted due to:
- Personal choice,
- Health issues,
- Late arrival,
- Missed flights,
- Or any reason not caused by Unique Himalayas Treks & Expedition Pvt. Ltd.
Where possible, we will assist with logistics and safe arrangements; however, any extra costs are borne by the client.
Our costs remain largely the same regardless of whether you finish the full program, as permits, guides, and accommodations are typically arranged and paid in advance.
11) Conduct During the Trip
Nepal welcomes travelers from every corner of the world, and we expect all our guests to respect local laws, customs, and communities.
We expect respectful behavior toward local communities, staff, fellow travelers, and the environment. If any traveler engages in unlawful activity or behavior that leads to their removal from Nepal by authorities, no refunds will be provided. We’ve never had to enforce this, and we trust we never will.
12) Third-Party Bookings
These Terms & Conditions apply only when you book directly with Unique Himalayas Treks & Expedition Pvt. Ltd.
If you book through an agent or third-party platform, their terms and conditions may apply, and you will be responsible for complying with them. Please review their policies carefully before confirming.
A Final Word
We’ve written these terms to be fair, transparent, with no hidden costs or charges, and protective of everyone involved: you, our team, and the communities we work with across the Himalayas.
