1. Booking and Reservations
Your booking is confirmed only after payment of the required deposit or full amount. We require accurate personal details, including full name, passport information, and contact details.
Important points:
- All bookings are subject to availability.
- We reserve the right to cancel or modify bookings due to insufficient numbers, natural disasters, political issues, or unforeseen circumstances.
- Travelers must communicate any special needs or preferences in advance.
2. Payment Terms
To secure your trip, a deposit is required. The remaining balance must be paid before departure. Payments can be made via bank transfer, online payment, or any agreed method.
Key notes:
- Late payments may result in cancellation without refund.
- Prices may vary due to exchange rates or supplier changes, but confirmed bookings will maintain the agreed price.
- All fees are in Nepalese Rupees (NPR) unless stated otherwise.
3. Cancellations and Refunds
We understand that plans may change, so please inform us in writing if you need to cancel. Refunds are based on the timing of the cancellation:
- More than 30 days before departure: full refund minus administrative charges.
- 15–29 days before departure: 50% of the package cost.
- Less than 15 days before departure: no refund.
Note: We are not responsible for losses due to flight delays, natural disasters, or events beyond our control.
4. Travel Insurance
Travelers are strongly advised to have comprehensive travel insurance covering medical emergencies, trip cancellations, personal liability, and luggage loss. Unique Himalaya Treks cannot be held liable for accidents, injuries, or medical costs during your trip.
5. Health and Fitness
Participants should ensure they are physically fit and able to undertake the chosen activities. Some treks and tours require moderate to high levels of physical activity.
Key points:
- Travelers must honestly assess their fitness levels before booking.
- Pregnant travelers or those with chronic illnesses should consult their physician before booking.
- Guides may adjust or limit participation if they feel a traveler’s health or safety is at risk.
6. Injuries and Evacuation
While we take every precaution, trekking and adventure activities carry inherent risks.
- In case of injury or illness, evacuation and medical assistance will be provided at the traveler’s expense.
- Unique Himalaya Treks is not liable for costs related to evacuation, hospitalization, or medical treatment.
- All travelers are encouraged to have comprehensive medical and travel insurance covering emergencies.
7. Visa and Passport
Travelers are responsible for obtaining valid visas and passports required for entry into Nepal or any other destination.
Important points:
- Unique Himalaya Treks is not responsible for denied entry due to missing, invalid, or expired documents.
- Travelers should carry photocopies of passports and visas while traveling.
8. Medical Conditions and Special Requirements
Travelers must inform us in advance of any medical conditions, allergies, dietary restrictions, or special requirements.
- This includes conditions such as heart disease, asthma, diabetes, or mobility issues.
- Special dietary requests should be communicated clearly before departure.
- We will make reasonable efforts to accommodate special needs but cannot guarantee all requests can be met.
9. Itinerary and Services
Itineraries are carefully planned but may be adjusted due to weather, local conditions, or other factors beyond our control.
- Accommodation, transport, and meals are provided as per the package.
- Substitutions may occur with prior notice.
- Services arranged independently by travelers outside the package are not the responsibility of the company.
10. Code of Conduct
We expect all travelers to act responsibly and respect local customs, communities, and the environment.
- Unsafe behavior, drug use, or disruptive conduct may lead to removal from the trip without refund.
- Travelers should respect cultural norms and participate responsibly in group activities.
11. Liability and Indemnity
Unique Himalaya Treks acts as a tour organizer and facilitator. Our liability is limited to the value of the purchased package. Travelers agree to indemnify the company against any claims arising from their actions or negligence.
12. Intellectual Property
All content on our website—including images, itineraries, and descriptions—is the property of Unique Himalaya Treks and cannot be reproduced without permission.
13. Governing Law
These terms are governed by the laws of Nepal. Any disputes will be subject to the jurisdiction of the courts of Nepal.
